Handover Your Accounts

Once you're ready to proceed, the handover process is straightforward and handled entirely by us.

We'll send you a simple service agreement that sets out our terms: the commission rate, what services are included, how reporting works, and how payments are made. This agreement is plain language and transparent. Once signed, you are protected and so are we.

You then provide us with your account list. This is typically a spreadsheet or your existing debtor records, whatever format you work in. We need the key information about each debtor: their name, contact details, the outstanding balance, and the documentation supporting the debt (an invoice, statement, or signed agreement). We'll let you know exactly what's needed and guide you through any gaps.

From the moment accounts are handed over, you hand over the burden. You don't need to make calls, send letters, or deal with difficult conversations. That's our job. You get on with running your business while we get on with recovering your money.

Recovery in Action

This is where the work happens. Systematic, persistent, and fully documented.

Once accounts are loaded, we begin the recovery programme immediately. Each debtor receives a formal initial contact: a written demand that clearly states the outstanding amount, the basis of the debt, and a deadline for payment or engagement. This is professional and measured, designed to prompt action without damaging your relationship with the debtor any further than necessary.

If there's no response, we follow up. Phone calls, SMS, email: we use every legitimate channel of communication on a structured schedule. If a debtor engages and requests a payment arrangement, we assess the proposal and come back to you with their offer. If a debtor continues to ignore contact, we escalate: formal demand letters, and where appropriate, credit bureau listings.

For debtors who have disappeared or changed their contact details, our tracing service runs concurrently. When a debtor is located, the recovery programme picks up immediately. No delays, no restart. The process continues from where it left off.

You Get Paid

Every rand collected on your behalf comes back to you: reliably, monthly, and with full documentation.

When debtors pay, the money is received and held in our accounts. At the close of each month, we reconcile all collections across your account portfolio. Our commission is calculated and deducted at this point. You never need to invoice us or track what's owed. The balance is then transferred directly to your bank account by EFT.

Together with your payment, you receive your monthly report. This details every account we worked during the month, what actions were taken, and which accounts generated the collections reflected in your payment. There's a clear, auditable connection between the report and the transfer. Nothing is vague, nothing is unexplained.

This monthly cycle continues for as long as you have accounts with us. New accounts can be added at any time. Settled accounts are closed and removed from the active portfolio. You stay in full control of what we're working and what gets closed.

How long does the recovery process take?

It depends on the debtor and the account. Some debtors respond to the first formal demand and settle within days. Others require weeks of follow-up, tracing, or bureau listing before they engage. There is no fixed timeframe. What we can promise is that every account receives continuous, structured attention until it is either collected or formally closed.

We don't give up. As long as an account remains active on our portfolio, it is being worked. We'll keep you updated monthly so you always know the status of each account.

What happens if a debtor contacts my business directly?

This does happen, especially at the start of the process when debtors are startled by formal demand letters. If a debtor contacts you directly, the best course of action is to let them know that the account is now being handled by Any Collections Pty Ltd and direct them to contact us.

Please let us know immediately if this happens. It's important that we're aware of any direct contact so we can update our records and adjust our approach accordingly. Do not agree to any payment plans directly, as this can complicate the recovery process.

Can I add new accounts after the initial handover?

Absolutely. Most of our clients add accounts on an ongoing basis as new debts become overdue. There is no minimum or maximum number of accounts. You can hand over a single account or a hundred at a time. Our process handles both.

Simply send us the account details using the same format as the initial handover, and we'll load them into the portfolio and begin the recovery programme. New accounts appear in your next monthly report so you can see exactly when they were loaded and what initial contact has been made.
